DESCRIPTION:
ADMIN:
- Schedule and coordinate for meetings and events: Dept monthly meeting, Manager Meeting, birthday, Team building, special days….
- Work with IT & Maintenance Team if any facilities in team has issue
- Make travel arrangements and reports, including travel requests, flight and hotel bookings, visas registration, expense settlements (such as transportation allowance, per diem, business travel fees, entertainment fees, outsourcing contracts. . .)
- Greet visitors and prepare the facilities for them (access card, taxi card, hotel,..)
- Prepare and support for the newcomer: facilities, access card, resource…
- Check, collate the documents before submitting to Department Head for approval signatures of relevant department documents
- Perform accounting tasks, including invoicing and budget tracking : Monthly Accrued Expense, check report of spending, payment for Suppliers…
- Cross-check data with related department Ops, Risk
- Make reservations online.
- Mailing support.
- Keep updated departmental organizational chart to HR, keep mailing groups up to date
Team support tasks:
- Support and advisory to Head about HR matter as:
- Ideas to improve the employee’s engagement
- Support The Training plan for all members
- Headcount tracking – then evaluate the employee’s & facility situation
- Cooperate with HRBP to follow solutions for issues
- Take meeting minutes and summary - follow up emails
- Support in reports and presentations
- Handle requests and queries appropriately - make all type of arrangements
